Step 1: Determine Your Payroll Status
In order to determine the kind of paperwork you need to complete, please place yourself in one of the following four groups:
GROUP 1: You have worked for Dorm Crew at any time since September 1, 2007. This includes Fall Clean-Up 2007 employees and current employees.
GROUP 2: You have not worked for Dorm Crew since Septermber 1, 2007, but you either (1) have worked for Harvard at any time in the past; (2) are a current Harvard employee; or (3) have worked for Dorm Crew at any time before September 1, 2007. Note that working for libraries, academic departments, the Bureau of Study Counsel, the athletic department, etc. counts as Harvard employment, but working for Harvard Student Agencies (HSA) does not.
GROUP 3: You have never worked for Harvard before (including Dorm Crew), and you are a U.S. citizen or permanent resident.
GROUP 4: You have never worked for Harvard before (including Dorm Crew), and you are a foreign national.
Step 2: Complete Your Paperwork
If you are in GROUP 1, we have all your paperwork on file, so you should be all set. See our direct deposit page for information on setting up direct deposit.
If you are in GROUP 2, you need to fill out a temporary registration form online. Click here for instructions. Once you have submitted that form, your paperwork will be complete. See our direct deposit page for information on setting up direct deposit.
If you are in GROUP 3, follow these steps:
- Fill out a temporary registration form by following these instructions.
- Fill out and submit an I-9 form by following these instructions.
- You will need to eventually fill out your M-4 and W-4 tax forms online. Follow the instructions on the M-4 and W-4 page.

If you are in GROUP 4, follow these steps:
- Fill out and submit a temporary registration form by following these instructions.
- Fill out and submit an I-9 form by following these instructions.
- Download the Foreign National Information Form (FNIF). Print it out on white paper and fill it out in black or blue ink.
- Bring your printed temporary registration, I-9, and FNIF and M-4 forms to the Dorm Crew Office in Weld Basement. If you are a foreign national, bring your unexpired passport with your F-1 visa, your I-20 form, and your I-94 card (often stapled in your passport).
- If you do not have a Social Security number, you must apply for one now. We cannot legally pay you unless you have one.
- You will need to eventually fill out your M-4 and W-4 tax forms online. Follow the instructions on the M-4 and W-4 page.

A note on payroll
You will receive emails from the PeopleSoft software informing you of time reporting deadlines. These do not apply to Dorm Crew, and Dorm Crew employees should never input their time online. All of our billing is processed on the paper timecards in your house.
