Instructions for the M-4 and W-4 Forms
The M-4 and W-4 are tax forms, which you can fill out online after all your other paperwork has been processed.
If you are a Spring Clean-Up employee, you may need to wait several weeks before your paperwork is processed, especially if you apply early. Therefore, if you cannot login to the website of the Harvard payroll system (“harvie”) to fill out the M-4 and W-4 forms, do not panic. It just means that your paperwork has not been processed yet. If it is past May 15th and you still cannot login, please let us know. Otherwise, wait a few weeks and try again.
If you are a term-time employee, you should be able to login to the website of the Harvard payroll system (“harvie”) to fill out the M-4 and W-4 forms a couple of weeks after you have submitted your paperwork (temporart registration form, I-9, etc.). If you still cannot login a few weeks after you completed your paperwork, please contact us.
Filling out the M-4 and W-4 forms
- Go to www.harvie.harvard.edu. You will need to enter your HUID number and PIN. If the site does not accept your HUID/PIN (make sure you enter it correctly!), it just means that the payroll office has not yet processed your I-9. Wait a few weeks and try again.
- Click on the white “PeopleSoft Access” button in the upper right hand corner. You will again need to enter your HUID number and PIN.
- From there, go to Self-Service » Employee » Tasks » W-4 Tax Information and fill out the online form.
- You will see a box which allows you to transfer the information you entered on the W-4 (the federal tax form) to your MASSACHUSETTS State Tax Record (i.e., the M-4 form). If you want your exemptions to be the same on your federal and state tax forms, go ahead and check this box. If you would like them to be different, fill out the W-4 with the information you want on your M-4 and check the box, but after that, go back and re-fill out the W-4 with the information you want on it.
